How a WMS Manages Imported Goods: Five Core Modules Explained

The first question many international clients ask when shipping goods to China is: what happens to my cargo after it arrives at the port? Who records it, who manages it, and how do I know how much stock remains? The answer lives inside a professional WMS (Warehouse Management System). For brands and importers managing inventory from overseas, a WMS is not a "nice-to-have" — it is the infrastructure for managing imported goods. Without it, you cannot even state with confidence how much product you hold in China.

The International Client Scenario: Special Demands of Imported Goods

Imported goods place much higher demands on warehouse management than locally sourced products:

Bonded and duty-paid inventory must be kept separate. Cargo in a bonded warehouse has not paid import duty and must be physically and systematically segregated from duty-paid (general warehouse) stock to avoid customs and tax exposure.
Batch and expiry traceability is mandatory. For cosmetics, food, and medical devices, the Chinese market requires end-to-end traceability — when a problem arises, it must be pinpointed to a specific batch.
Customs declarations must reconcile with inventory records. Importers need to match customs declaration data against actual received quantities shipment by shipment; any gap is a potential risk.

Manual ledgers and spreadsheets cannot meet these requirements. A WMS must do the work.

Module 1: Receiving — From Port Arrival to Putaway

Arrival data (bill of lading, packing list, invoice) is entered in advance and the system assigns bin locations automatically
Arrival forecasts are compared automatically with actual truck arrivals, flagging exceptions early

Goods-in inspection

PDA scanning verifies quantity and specification against barcodes automatically
Quality control routing: conforming, non-conforming, and pending-inspection goods are separated automatically

Module 2: Inventory Management — Real-Time and Traceable

This is the core of the WMS and the module most often underestimated.

Real-time queries: search by SKU, batch, bin, or expiry from multiple dimensions; overseas teams check stock themselves instead of waiting for email replies from warehouse staff
Cycle counting: count tasks are generated daily, replacing the once-a-year full shutdown. Class A high-value items monthly, Class B quarterly, Class C semi-annually
Batch and expiry control: batch numbers are generated automatically at receiving for full traceability; expiry alerts flag soon-to-expire stock; FIFO is enforced — the system refuses to pick an out-of-order batch

Real case: after an imported food client enabled expiry management, spoilage loss fell from 3% per month to 0.2%, saving over CNY 200,000 a year.

Module 3: Outbound Management

Order integration: API-based integration with e-commerce platforms and client ERPs; orders download automatically and exception orders (bad addresses, out-of-zone) are intercepted automatically
Wave picking: the system consolidates orders automatically, supporting pick-by-order (large orders), pick-and-sort (many SKUs per small order), and pick-and-separate-while-picking (fastest, PDA-based)
Check and pack: scan-based verification ensures shipments match orders; labels print automatically and parcels are weighed automatically

Module 4: Data Analytics

Operations dashboard: real-time receiving/shipping volumes, inventory turnover, staff productivity, and warehouse utilization
Cost analysis: warehousing costs calculated per client and per SKU, with handling and logistics costs itemized transparently — especially valuable to international clients managing supply chains as cost centers
Forecasting: demand forecasting from historical sales, order-volume prediction for campaigns to plan staffing, and slow-moving alerts to clear dead stock in time

Module 5: Smart Applications and Ecosystem Integration

Automation integration: AGV dispatch, AS/RS interfacing, and sorter/packer coordination
Client portal: international clients check inventory, track orders, and export reports self-service, without email chains
TMS integration: warehouse and transportation are managed as one — goods ship the moment they leave the dock, with tracking end to end
